Consultant OS
Deals aren't lost on price. They're lost on silence.

What this is
Consultant OS has three pieces: Client Tracker (who, what stage, what's next), Proposal Pipeline (the rules the stages move by), and Invoice Tracker (who owes you money and what you keep). That's it. If you feel the urge to add a fourth, read the Start Here page again.

The method
What is inside, page by page
Every column and every view below is written into the spec this template is built from, so what you duplicate is what you read here.

The system works if you touch it three times: in the morning, after every conversation, and on Friday. Under ten minutes a day.
- Morning — 5 minutes
- After every conversation — 60 seconds
- Friday — 15 minutes
- Signing day
- Once a quarter — 20 minutes
- What to resist
The system
Client Tracker
The central database. One row = one client or one prospect. Do not keep two lists ("prospects" and "clients") — it is the same person at a different point in the relationship. The Stage field carries that difference, and a Board view grouped by Stage gives you the visual pipeline without duplicating a single row.
🎯 Clients
One row = one client or one prospect. Stage carries the difference.
Columns
- Client Title
- Stage Select · Lead / Qualified / Proposal / Negotiation / Signed / Lost
- Value USD Number · Dollar
- Last touch Date
- Next action Text
- Next action date Date
- Notes Text
Views
- All clientsTableThe default view. Every row, no filter — this is the one that ships as the database's first tab.
- PipelineBoardgrouped by
Stage— This is the proposal pipeline; there is no second database. Dragging a card changes the stage. - TodayTablefiltered:
Next action dateis on or beforeToday· sorted:Next action dateascending — The view you open every morning. If it is empty, your selling day is done. - Going staleTablefiltered:
Last touchis before1 week agoANDStageis notSignedANDStageis notLost· sorted:Last touchascending — You clear it on Friday.
Proposal Pipeline
Five stages. Not four, not seven. Each stage has an entry definition (what has to be true for a deal to sit there) and an exit trigger (the concrete action that moves it forward). If you cannot name the trigger, the deal is in the wrong stage.
- 1. Lead
- 2. Qualified
- 3. Proposal
- 4. Negotiation
- 5. Signed
- Lost is a stage, not a failure
- The weekly check
Invoice Tracker
One row = one invoice. You create it the day the deal is signed, not the day you issue it — an invoice that does not exist in the tracker is an invoice that goes out two weeks late, or never.
🧾 Invoices
One row = one invoice, created the day the deal is signed.
